Customer Management
Your customers are more than a list of names. They’re the people who buy from you again and again, and Mafflle keeps track of them for you automatically. Every time someone orders, their details and their history are saved, so you always know who your regulars are and what they spend.
This guide covers the Customers page, the stats Mafflle tracks, how customers get created, and how to add and manage them yourself.
The Customers Page
Go to Customers in your dashboard. You’ll see a list of everyone who has ordered from your store, with each customer’s details in a row:
- Name and email (if they gave one)
- Phone number (with a copy button, handy for WhatsApp)
- Total orders
- Total spent
The list is paginated at 20 customers per page, with newer customers first.
Finding a Customer
Use the search bar to find a customer by name, phone number, or email. Search as you type, and the list narrows down to matches. If you have a lot of customers, this is the fastest way to get to one person.
Viewing a Customer
Click a customer to open their details. You’ll see:
- Orders - How many orders they’ve placed
- Total Spent - How much they’ve paid across all orders
- Phone number and email (if provided)
- An Edit button to change their details
How Customers Are Created
Most customers create themselves. When someone places an order, Mafflle looks up the phone number:
- If a customer with that phone already exists, it updates their record with the new order.
- If not, it creates a new customer.
That’s it. You don’t have to add anyone by hand for normal orders.
One customer per phone number per store. If the same person buys from two different Mafflle stores, they show up as a separate customer in each one. The phone number is the identity within a single store.
Adding a Customer Manually
Sometimes a customer hasn’t ordered yet but you want their record anyway, or they placed a manual order and need a profile. Use Add Customer on the Customers page.
- Click Add Customer.
- Enter their full name (required).
- Enter their phone number (required).
- Enter their email (optional).
- Save.
A customer can also be created while you’re building a manual order: search, and if they don’t exist, click Create new customer to add them on the spot.
Mafflle won’t create a duplicate. If a customer with that phone number or email already exists, you’ll be told so.
Editing a Customer
Open a customer and click Edit. You can change their name, phone number, or email.
If a customer’s contact details change, updating them here keeps every future order linked to the right person.
Deleting a Customer
If you need to remove a customer, open them and choose Delete.
Deleting a customer detaches them from their past orders. The orders stay in your records and analytics, but the customer no longer appears in your customer list.
Think before you delete. There’s no way to un-delete a customer, and their order history won’t be linked to them anymore. It’s usually better to leave a customer in place than to remove them.
Customer Statistics
Mafflle tracks two numbers for every customer, and updates them automatically whenever orders change.
- Total orders - The number of orders they’ve placed, not counting failed payments.
- Total spent - The sum of what they’ve actually paid (only paid orders count toward this).
These numbers update by themselves as customers order and pay, so you don’t have to maintain them. If a customer’s payment fails or an order is cancelled, the stats adjust to match.
Using Customer Records
- Spot your regulars. Sort through the list and see who’s bought most and spent most.
- Reach out easily. Copy a phone number and message on WhatsApp, or use the customer’s details to follow up on an order.
- Build manual orders faster. When you create a manual order, pick an existing customer instead of typing details again.
